Another big benefit of using a service such as this is that your privacy levels are greatly improved and you’ll no longer have a boss or colleague looking over your shoulder and reading your document as you wait for your fax on the fax machine to go through. Additionally, since soft copies are available, it makes the document easier to circulate as well as store.

There are a large number of service providers that have mushroomed all over the world that caters to every possible whim and fancy of a business, however big or small it may be. So how do you decide which one is the right one for you? Here are a few guidelines:

Ensure that you are set up to receive faxes either by an email or by logging onto an account set up exclusively for you in order to have them collected online. Unfortunately there are a few providers who do not offer this facility and if you happen to be away some place where you don’t have access to your faxes, you could end up losing both money and business.

Look closely at what you are being charged, as some companies tend to charge you more in the form of hidden costs and charges. The most common example of this scenario is where in you are told that there is a service that is absolutely free of cost. Once you sign up for it you would be charged as you would have most likely exceeded your limit (like say the number of faxes that you send/receive), something which was not communicated to you earlier.

Another factor to look out for is the format in which the documents will be sent to you by the service provider. Generally most of the providers send you the documents in the form of a TIFF attachment, which may not be compatible on certain systems. Therefore the safest bet would be to find a provider who can send you the documents in more than one format which are compatible with the office tools that you have installed in your computer.
